Archiving

Am I required to store a minimum number of archives?

No – some of our customer just require us to keep 3-4 boxes for them in a secure off-site location.

How do I dispose of my archives after I have kept them for the statutory requirement?

We offer a secure and totally confidential shredding service (all paper is then recycled), which can be for as few a 2 archive boxes. Every client is then issued with a Certificate of Destruction for their records.

Am I able to store highly sensitive documents with you?

Our clients range from solicitors, accountants to the NHS and each individual's archive store is located in an anonymous, unmarked container and is totally confidential, identified by a number (known only to us).

How do I request the return of a document or file?

The method of return of a file is entire down to the client’s requirements: we can personally deliver them, send them by DX or courier, fax or email, or retrieve them for their own collection.

Are their any additional charges?

Archive rates are fixed on a weekly basis, but collections/delivery are done individually depending upon the method and distance.

How secure will my documents be?

The documents are store in an anonymous container in our storage centre, which is locked, and these keys are held in a key safe, with no unauthorised access. Our premises are locked at night and have state-of-the-art CCTV surveillance. Our Business Park has its own CCTV, barriers and night watchman.

Can I have an urgent delivery of a file?

Our standard delivery is usually within 24 hours of notification, but we are able to offer same-day deliveries and emergency ones, if necessary.

How will I know how to locate a file?

Documents and file which need to be accessed regularly are kept according to an inventory held by both of us. This can be either computerised, and with barcodes, or a simple list – each inventory has it's own designated location.
